1. Application GuidelinesEligibility and Application: Please read all information carefully before submitting your application. An applicant may only apply for the World 25K – Elite Race category. Each applicant must use a single email address for all communication.Elite Athlete Verification: Prospective elite participants must email their timing certificates for verification to <a href="mailto:eliteathlete@procam.in">eliteathlete@procam.in</a> meeting the timing qualification criteria. Once your eligibility is confirmed, you will receive a unique referral code to access the elite race registration form.Registration Process:Registration is exclusively online via the provided link. The applicable refundable entry fee must be paid during registration. No third parties are authorized to collect entries on behalf of the event promoter, Procam International Pvt. Ltd. (PIPL).Entry Fees:Each athlete will have to pay a refundable entry fee of INR 4000/- (Four Thousand only). Participation ConfirmationThe Indian Elite Athlete field will be limited to 20 participants each in the Men’s and Women’s categories. If the number of verified entries exceeds this limit, the top 20 athletes with the fastest qualifying times will be shortlisted in each category. Confirmed athletes will receive an email and WhatsApp message within 10 working days after closing of the registration on 5th November 2026. Only athletes who report on Friday, 18th December 2026 and participate in the race are eligible for a refund of their entry fee. Athletes reporting on Saturday, 19th December 2026 will be eligible for a refund after deduction of one day’s applicable amount.3. Entry Rejection and Refund PolicyIf an athlete’s application is rejected for any reason, the entry fee will be refunded (less an INR 120 processing fee) on or before 1st December 2026.&nbsp; A full refund (less an INR 120 processing fee) is available only to athletes who participate in the race, and report on Friday, 18th December 2026. The refund will be made on or before 15th January 2027. Refund discrepancies must be reported immediately to the Elite Athlete Management team. Refund queries will not be addressed after 31st January&nbsp;2027. Confirmed athletes who do not participate in the race for any reason are ineligible for a refund.4. Other Important PointsThe right to reject an application for registration is at the sole discretion of PIPL and is non-transferable. PIPL reserves the right to verify the identity and residence of any confirmed participant. Providing incorrect information will lead to disqualification and forfeiture of all benefits without a refund. Race day images of all participants will be screened. Any participant not wearing their assigned running number bib will be disqualified from the current and subsequent 2027 edition of the event. PIPL may pursue legal action in cases of impersonation. Failure to adhere to these guidelines may result in disqualification. The event promoter reserves the right to amend or alter the terms of the Tata Steel World 25K at any time without prior notice.

Prize Money

<ol style="list-style-type:decimal;"><li>Race results announced on race day will be ‘provisional’. Final results and entitlement to prize money shall be subject to the rules mentioned herein and the Race Regulations.</li><li>Only those 25K runners confirmed by the Event Promoter as elite, starting their race at the official World 25K start time on Sunday, 20th December 2026, will be entitled to be considered for prize money given in Charts A and B, and bonuses and jackpot earnings given in Charts C, D, E and F of the prize money structure as applicable.</li><li>A confirmed World 25K runner starting his/her race at any start time other the official World 25K start time shall be disqualified from the Event.</li><li>An elite runner, Indian or international, falling under the top overall World 25K finishers shall be entitled to either Primary or Secondary prize money as given in Chart A, basis his/her and depending upon his/her respective race day finish timings. For the sake of brevity, an elite runner finishing 4th overall amongst elite men with a finish time of 1:12:43s, will stand to win USD 3,000 as prize money.</li><li>An Elite runner, Indian or international, who is one of the top overall World 25K finishers, will be entitled to prize money stated in Chart A. The first 6 Indian World 25K finishers who do not finish in the top overall World 25K finishers, will be entitled to prize money in Chart B. However, where an Indian Elite runner finishes as one of the top overall World 25K finishers, he/she will receive prize money stated either in Chart A (basis his/her finish time) or Chart B, whichever is higher.&nbsp;</li><li>In the instance of an Indian elite availing of the higher prize money amount from Chart B, there will be no change in the overall finishing position of the said Indian elite runner; the overall finishing positions remain the same.</li><li>Time Bonus Rule: The time bonuses for Indian Elite finishers (men and women), as specified in Chart E(3) and E(4), shall be non-cumulative. A finisher shall be entitled only to the single highest applicable time bonus corresponding to their finish time. For example, an Indian Elite male finisher recording a finish time of less than 1:12:30 shall be entitled to INR 1,00,000 only, subject to the applicable prize money rules.</li><li>Finish positions of the World 25K runners shall be basis gun time only.&nbsp;</li><li>Elite athletes must cross the start line within 30 seconds of gun start time to be eligible for timings, rankings and thereby prize money.</li><li>The cut-off of finish time for prize money entitlement for World 25K Men is 1 hour 25 minutes, and for World 25K Women is 1 hour 45 minutes from gun start time.</li><li>In addition to the above, entitlement to finish positions and prize money winnings are also subject to–<ol style="list-style-type:lower-latin;"><li>Bib tag timing captured across all timing points on the course, including at the start and finish mats,&nbsp;</li><li>Physical verification by technical officials and anti-cheat cameras, and&nbsp;&nbsp;</li><li>Dope test results (applicable only for relevant World 25K finishers).&nbsp;</li></ol></li><li>Event Record Bonus and Jackpot:&nbsp;<ol style="list-style-type:lower-latin;"><li>Bonus for overall World 25K winner [Chart C(1)] – The event record bonus will be for the overall World 25K winner finishing sub 1:11:13s (Men, 1:11:12s or faster) / sub 1:18:47s (Women, 1:18:46s or faster).</li><li>Bonus for Indian World 25K winner [Chart E(1)] – The bonus amount will be for the Indian World 25K winner finishing sub 1:12:06s (Men, 1:12:05s or faster) / sub 1:26:04s (Women, 1:26:03s or faster).&nbsp;</li><li>Jackpot for top Indian World 25K finishers [Chart F] – Top Indian World 25K finishers, including the Indian World 25K winner, finishing sub 1:12:06s (Men, 1:12:05s or faster) / sub 1:26:04s (Women, 1:26:03s or faster), shall stand to win the Jackpot divided equally amongst them.</li></ol></li><li>An elite athlete refusing, for reasons whatsoever, to undergo dope testing (where chosen) will be disqualified from this Event and shall not be allowed to participate in the subsequent edition of the Event. His/her finish position at the Tata Steel World 25K Kolkata 2026 and consequent prize money entitlement shall stand disqualified and forfeited.</li><li>Athletes found to have interchanged their running number bib and/or bib tag with others, will be disqualified from the competition. Such athletes shall not be entitled to any timing or prize money (where applicable).</li><li>Prize winners declared may be required to submit further proof of identity/age, as may be required by the Event Promoter, for disbursement of prize money, failing which the Promoter may, at its sole discretion, withhold disbursement or disqualify the said elite from competition.</li><li>By virtue of the Tata Steel World 25K Kolkata 2026 being a World Athletics Gold Label Road Race, an amount of 2% from the gross prize money (before applicable taxes) of top 6 overall finishers shall be deducted by the Event Promoter as elite athletes’ contribution to the anti-doping fund, from prize money disbursements made. This is in-line with the Terms &amp; Conditions of the 2026 Label Road Race Programme published by World Athletics.</li><li>Prize money and bonus winnings are subject to applicable Indian Income Tax Rules, and the same would be borne by the winner.</li><li>Indian Elite runners entitled to prize money given in Chart A, will receive prize money equivalent in Indian Rupees calculated at the applicable exchange rate as on date of disbursement.&nbsp;</li><li>Protests and Appeals:<ol style="list-style-type:lower-latin;"><li>The athlete and/or his/her representative can appeal to the Technical Delegate in relation to the official race results declared, in writing, within 30 minutes of the official announcement of the results on race day. Results will be put up at the elite athlete tent.&nbsp;</li><li>The protest letter needs to be submitted to the Manager of the event’s Elite Athletes Management team.</li><li>Where the Technical Delegate makes a decision, the athlete and/or the representative has the right to appeal to the Jury of Appeal. An appeal to the Jury of Appeal must be made at the Elite Result Appeals Desk within 30 minutes – (i) of the official announcement of the amended result which has been arrived at from the decision by the Race Referee, or (ii) of informing the person lodging the protest that the results will not be amended.&nbsp;</li><li>The Jury of Appeal shall deliver its decision within 14 working days of filing the appeal. The decision of the Jury of Appeal shall be final and there shall be no further right of appeal.</li><li>The Protests and Appeals for the elite races will be guided by rules given in this document, and the World Athletics Competition Rules in force on race day (i.e. 20th December 2026).</li></ol></li></ol>

Minimum Qualification Times: To qualify as an Indian Elite for the event, athletes must achieve the qualifying timings listed below. Qualification Criteria

<ul><li>Accommodation: Selected athletes will be provided with accommodation from 1 PM on 18th December 2026 to 11 AM on 20th December 2026.</li><li>Note: – All athletes who are eligible for accommodation must check in to the hotel before 3 PM on 18th December 2025, no athlete will be allowed to check in beyond the given deadline.</li><li>All athletes will have to check out by 11 AM on&nbsp; 20th December 2026, failure in doing so will result in athlete’s being charged for an extra night for accommodation.</li><li>Meals: All meals during the duration of the stay will be provided for athletes and the accompanying coaches.&nbsp;&nbsp;</li><li>Travel Support: Procam will arrange transportation between the place of stay and the race venue for all elite athletes.</li></ul>

Amenities

<ul><li>All Indian Elite Athletes participating in the Tata Steel World 25K 2025 will be governed by the anti-doping rules of WADA (World Anti-Doping Agency) and NADA (National Anti-Doping Agency).</li><li>Random dope testing will be conducted, with athletes from both the men’s and women’s Indian Elite categories selected for testing after the race.</li><li>This ensures fair competition, protects athlete’s health, and upholds the integrity of the event, in line with global and national anti-doping regulations</li></ul>

Timelines

Coaches’ Registration: &nbsp; Coaches who wish to accompany their athletes to the event must register alongside them. Only certified coaches with valid bonafide credentials will be permitted, and acceptance is subject to approval by Procam International.Coaches need not register separately. Instead, their registration is processed as part of the athlete's online application. The athlete's registration form will include a dedicated section to add the coach's details.A coach accompanying multiple athletes must register under only one of their athletes' registration forms.A security deposit of ₹4,000/- (Rs Four Thousand only) will apply per coach, refundable post-event - subject to the coach attending the event along with their registered athlete(s).Mandatory Requirement for Coaches:<ul><li>A valid certification in distance running from a recognized institution such as the National Institute of Sports (NIS) or the Athletics Federation of India (AFI).</li><li>Registration with the Athletics Federation of India (AFI) and in possession of Unique ID Number allotted by AFI (Authority: AFI Circular Number 105/12-2025 dated 13th December 2025)</li></ul>These bonafide credentials must be submitted during the registration process for verification.All coach registrations are subject to approval by Procam International Pvt.
